Hosting a WCMC Event

 

Hosting a WCMC event is easier than you think. Here are 4 simple steps to follow:

 

 

 

Plan

Have fun! Planning an event is exciting and rewarding. Pick a favorite destination, or an event that interest you, and you think may interest others. Communicate

Contact the This email address is being protected from spambots. You need JavaScript enabled to view it. and give them the tour name, location, and dates. Email the This email address is being protected from spambots. You need JavaScript enabled to view it. for the Website calendar. Email the This email address is being protected from spambots. You need JavaScript enabled to view it. for the newsletter. Advertise your event to the fullest, including newsletter articles, web article, announcements at meetings or other events, and eGroup messages.

The Event

Have a Waiver (including Minor and Parental Consent waivers if needed) printed to sign at your event. These are only needed for a driving event. If your event is a burger night, or non-driving event all you need is a sign up sheet. Have printed directions (if a driving tour) printed for everyone. Have a Drivers Meeting to reinforce safe driving!!!

Wrap it up

If you collected any money, or had any expenses, or are due an honorarium for your event you need to fill out an Accounting Form, turn this in to the treasurer. Turn in your sign up/waiver sheets to the vice-president. Turn in a copy of your event to the historian (somebody in the future may want to host a tour in the same area and this would help—more tours!) Start planning your next event!!!

Code of Conduct

            The following actions are considered breaches of the Windy City Miata Club Code of Conduct:

  1. Driving recklessly or dangerously at any Windy City Miata Club sponsored event, and reported to the Board by several witnesses.
  2. Acting in an unsportsmanlike manner by violating the Windy City Miata Club’s accepted rules of behavior, such as: abusive, aggressive or threatening language or actions, while at Windy City Miata Club sponsored events.
  3. Threatening or committing physical violence upon any other person or persons when participating in a Windy City Miata Club sponsored event.
  4. Violation of Windy City Miata Club’s by-laws which state in part: “The Board of Directors retains the right to revoke a member’s membership, due to the member exhibiting inappropriate behavior or activities that could endanger a club member or the club as a whole”.

Responsibilities:

Each individual is responsible for their conduct at all times, during any club event.

PENALTY – First Offense:

Loss of privilege to attend the type of event where violation occurred (tours, meetings, autocross, etc.) for 6 months.

Written notification will be sent to the offending individual.

The Windy City Miata Club board will have the final determination if the offence meets the above guidelines.

PENALTY – Second Offense:

Loss of Windy City Miata Club membership. The individual will be banned from all future Windy City Miata Club events, for the sake of the safety of other individuals.  

Final written notice will be sent to the offending individual who has violated the Windy City Miata Club’s Code of Conduct. The Windy City Miata Club board will have final determination if the offence meets the above guidelines.
